This policy applies to paid application audit engagements with Distributed DevOps Audit. Website form submissions do not create charges. Refunds, where due, are paid to the original payer by bank transfer unless another method is agreed in writing.
Eligibility & timeframe
Requests must be emailed to hello@distributeddevops.digital within 14 days of the event that triggers the request (cancellation, material delay caused by us, or delivery failure). Include the engagement reference and invoice number.
Full refund
A full refund of fees paid applies if we cancel the engagement before evidence review begins, or if we fail to deliver the findings register within the window stated in the engagement letter for reasons solely within our control and you decline a rescheduled window.
Partial refund
If you cancel after intake is complete but before stakeholder interviews begin, we retain the deposit (or 30% of the quoted fee, whichever applies) for preparation already performed and refund the remainder. If work has entered evidence review, fees for days already worked are non-refundable; unused prepaid days may be refunded on a pro-rata basis.
Non-refundable items
Deposits that reserved an audit window within 10 business days of the start date are non-refundable when you cancel, because calendar time cannot be rebooked at short notice. Travel costs already incurred for agreed on-site days in Japan are non-refundable when cancellation occurs after tickets or lodging are purchased with your approval.
Work already started
Draft findings, interview notes, and access setup count as started work. Those portions remain billable even if you later pause the engagement.
Rescheduling & no-shows
You may reschedule once without fee if you give at least five business days’ notice. Later changes may incur a rescheduling fee of ¥40,000. If key stakeholders miss scheduled interview slots without notice, that half-day may be billed and a new slot quoted separately.
Processing time & method
Approved refunds are processed within 14 business days. We refund via the same bank channel used for payment where possible.
